Inside Sales / Customer Service Representative (German Job Description)

Hauptaufgaben

• Steuerung und Koordination des gesamten Auftragsprozesses für Großhandel, Industriekunden und den Außendienst
• Eigenverantwortliche Bearbeitung und Nachverfolgung von Kundenaufträgen sowie proaktive Kommunikation mit Kunden und internen Schnittstellen
• Sicherstellung eines effizienten und kundenorientierten Order-to-Cash-Prozesses unter kontinuierlicher Optimierung von Abläufen und Prozessen
• Unterstützung bei der Weiterentwicklung und Betreuung unserer E-Commerce-Plattform sowie Förderung digitaler Kundenlösungen
• Sicherstellung einer termingerechten und qualitativ hochwertigen Auftragsabwicklung in enger Zusammenarbeit mit Logistikpartnern und Lagerstandorten
• Professionelles Management von Reklamationen und Retouren in Zusammenarbeit mit externen Dienstleistern und internen Fachbereichen
• Erstellung und Prüfung von Rechnungen sowie Gutschriften unter Einhaltung interner Richtlinien
• Sicherstellung einer ordnungsgemäßen Dokumentation und revisionssicheren Ablage für interne und externe Audits
• Erstellung, Analyse und Pflege von Reports zur Unterstützung von Kunden, Management und internen Stakeholdern
  
  

Berufliche Qualifikation

• Abgeschlossene kaufmännische Ausbildung, Studium im Bereich Betriebswirtschaft, Supply Chain Management oder eine vergleichbare Qualifikation
• Mehrjährige Berufserfahrung im Customer Service, Order Management, Customer Operations oder in der Logistik
• Fundierte Anwenderkenntnisse in SAP R/3 oder vergleichbaren ERP-Systemen
• Sicherer Umgang mit Microsoft 365, insbesondere Excel, Teams und SharePoint
• Sehr gute Deutsch- und gute Englischkenntnisse in Wort und Schrift
• Ausgeprägte Kommunikations- und Teamfähigkeit sowie Freude an der bereichsübergreifenden Zusammenarbeit
• Hohe Service- und Kundenorientierung gepaart mit einer lösungsorientierten Arbeitsweise
• Selbstständige, strukturierte und verantwortungsbewusste Arbeitsweise
• Hohe Flexibilität sowie die Fähigkeit, Prioritäten in einem dynamischen Umfeld erfolgreich zu managen

Key Responsibilities

Inside Sales / Customer Service Representative (English job description)

• Manage and coordinate the end-to-end order fulfillment process for wholesalers, industrial customers, and the field sales organization.
• Independently process and monitor customer orders while ensuring proactive communication with customers and effective collaboration with internal stakeholders.
• Drive an efficient and customer-focused Order-to-Cash process through continuous process improvement and optimization.
• Support the development, implementation, and administration of our e-commerce platform while promoting digital customer solutions.
• Ensure timely and accurate order fulfillment in close cooperation with logistics partners and warehouse locations.
• Manage customer complaints and returns professionally, working closely with external service providers and internal departments to achieve timely resolution.
• Prepare and review invoices and credit notes in compliance with company policies and procedures.
• Maintain accurate documentation and ensure audit-ready records for internal and external compliance requirements.
• Create, analyze, and maintain reports and performance metrics to support customers, management, and key stakeholders.
  
  

Qualifications

• Completed commercial training, a degree in Business Administration, or an equivalent qualification
• At least 3 years of experience in Customer Service, Order Management, Supply Chain, or Logistics
• Hands-on experience working with SAP R/3 or comparable ERP systems
• Strong proficiency in Microsoft 365 applications, particularly Excel, Teams, and SharePoint
• Fluent in German and proficient in English, both written and spoken
• Collaborative team player with strong communication skills and the ability to build effective relationships across functions
• Highly organized, detail-oriented, and committed to delivering high-quality results
• Customer-centric mindset with a proactive and solution-oriented approach
• Ability to manage multiple priorities in a dynamic and fast-paced environment
