To further strengthen our team at our headquarters in Munich, we are currently seeking a committed Team Assistant - Accounting & Internal Service.
As the first point of contact for our guests and suppliers, you represent our company with your warm and professional manner. You will take responsibility for a wide range of tasks relating to our reception and internal office organisation, and, together with colleagues and external partners, ensure that day-to-day operations run smoothly.
In addition, you will support our finance team with selected accounting tasks. In this role, you will gain an insight into accounts receivable and accounts payable, support our senior accountants in their day-to-day work and, where required, cover for them during their annual leave.
Reception & Office Coordination Responsibilities:
- Answering and directing phone calls in a friendly manner, as well as organising post and courier deliveries
- Greeting visitors and coordinating hospitality arrangements
- Travel management: organising business trips and managing the travel booking and expense claims platform; providing assistance with visa applications and travel and security notifications where required
- Monitoring and restocking office and kitchen supplies – you keep track of everything and know what is needed
- Managing our company apartment, including the occupancy schedule, equipment & condition checks, in conjunction with our in-house technician
- Support with the onboarding of new staff and an introduction to our office organisation
- Coordinating with our cleaning services for both the office and company apartment
Your tasks in the area of accounting:
- Recording and entering incoming invoices into our ERP system
- Handling petty cash and related documentation
- Support with travel expense claims, in particular the verification, entry and transfer of data from the travel management system to the ERP system
- Issuing outgoing invoices and recording them in our ERP system
Your profile:
- Completed commercial vocational training or equivalent qualification
- Initial work experience in an assistant, office management or commercial role; some experience in bookkeeping is desirable
- Understanding of travel expense regulations and travel management, particularly travel bookings and travel expense claims, would be an advantage
- Structured, self-reliant and solution-focused working style
- Friendly, professional attitude paired with a strong sense of teamwork
- Excellent communication and organizational skills
- High level of reliability, discretion, and dedication
- Willingness to handle routine tasks conscientiously while staying open to new responsibilities
- Genuine interest in improving and optimizing existing workflows
- Confident user of standard MS Office applications
- Very strong command of both German and English (written and spoken at CEFR level C1–C2)
Desirable knowledge:
- Knowledge of another foreign language (e.g. Italian or Spanish)
- Class B driving licence
