People & Workplace Coordinator (m/f/d) - #2731237

ABOUT THE ROLE

Do you enjoy creating a workplace where people feel welcome and everything runs smoothly? Are you equally comfortable coordinating an office repair, welcoming a new colleague, preparing an employee document, and organizing travel?

We are looking for a People & Workplace Coordinator to take ownership of our Munich office and support selected People Operations activities for our team in Germany. You will work closely with the wider People team, our Germany-based leadership team, all Germany based employees (remote and Munich based), and external service providers.

This full-time or part-time position is based at our Munich office in Sendling and requires regular on-site presence.

YOUR RESPONSIBILITIES

• You create a great start to every office day: kitchens, social areas, and meeting rooms are welcoming and well prepared, with fresh fruit, snacks, and drinks ready for the team.
• You are the friendly first point of contact for colleagues, candidates, customers, suppliers and other partners, making sure every interaction feels smooth and professional.
• You keep our workplace running effortlessly by coordinating landlords, cleaning and maintenance providers, repairs, access, office supplies, and other facility needs - including quotations, invoices, and service quality.
• You take ownership of practical office administration, from post, parcels, and shared inboxes to our small fleet of company cars for the Germany-based sales team.
• You support our Germany-based leadership team with selected personal-assistance and administrative tasks, such as travel planning, expense coordination.
• You provide hands-on People Operations support throughout the employee journey, including onboarding and offboarding coordination, benefit administration, reference letters, employee documents, and accurate data maintenance in Personio, our HRIS.
• You bring people together through well-organized meetings, office visits, team lunches, and company events,
• You coordinate office health and safety - from supporting first aiders and fire wardens to organizing annual training and liaising with our health and safety consultant.

YOUR PROFILE

• You have professional experience in office or workplace management, team assistance, HR administration, or a comparable role.
• You take ownership, work independently, and follow up until tasks are completed.
• You are highly organized, reliable, service-oriented, and attentive to detail.
• You communicate warmly and professionally with employees, candidates, leaders, visitors, and external partners.
• You handle personal information with discretion and are comfortable coordinating suppliers, offers, and invoices.
• You communicate fluently in German and confidently in English. Experience with Personio or another HRIS is an advantage.
• You are curious about AI-enabled tools and interested in using them to make administrative work more efficient.
