The work

We are looking for a reliable and highly organised Executive Assistant to support IQM’s Technology leadership team, especially CTO, in a fast-paced, international environment. In this role, you will handle complex scheduling, travel arrangements, event organizing and communication tasks while ensuring daily operations run smoothly behind the scenes.

You will act as a trusted partner to senior executives and play a key role in ensuring effective collaboration across teams, partners, and stakeholders worldwide. Your main location can be either Espoo, Finland or Munich, Germany.

This role includes a hybrid working model (approx. 50% at the office, 50% remote if wanted) and travelling expectation is approximately once a quarter.

What You’ll Actually Do

• Calendar & Scheduling: Manage multi-timezone calendars, coordinate meetings with internal and external stakeholders, and handle scheduling conflicts independently.
• Travel, Events & Visits: Plan and manage international travel (flights, hotels, visas), support event management (up to 100+ participants), planning, and logistics for conferences, consortiums, and visits. Support executive participation in external events and help organize visits and meetings at IQM’s premises.
• Admin & Operations: Organize meetings and workshops, prepare agendas and follow-up notes, maintain shared folders, support contract handling, expense reporting, and confidential initiatives. Manage preparation for technical conferences, including overseeing the process for review and approval of materials.
• Tools & Processes: Use AI and tools like Microsoft 365, Teams, Zoom, Jira, DocuSign, and Acubiz; help improve the internal admin processes as the company scales.
  
  

What We’re Looking For

• Approx. 3+ years of experience in a similar Executive Assistant position
• Experience from technology companies, preferably in a global and growing environment
• Experience in calendar management, scheduling and meeting agenda management
• Experience in travel arrangements and large-scale events
• Ability to adapt into dynamic and fast phased environment, make swift decisions and change focus when needed
• Familiarity with how to use software tools (e.g. Zoom, Teams, Slack, Microsoft Office tools)
• Fluent English language skills, Finnish or German are seen as a benefit
